Emma's Diary FAQ'sWhat is Emma’s Diary?
Emma’s Diary is a comprehensive guide for Mum’s to be, new Mum’s and their partners. This is also complimented by their website which is the first port of call for many women during pregnancy. The guide is commended by GP doctors and Midwives. To receive further information and offers with recommended suppliers Mum can register at a Lloyds Pharmacy or visit any Argos store to collect their Emma’s Diary pack which includes advice and samples for Mum and Baby. How is the data obtained?When a Mum registers for her Emma’s Diary pack she completes a form leaving her details. She also registers for offers from Emma’s Diary ‘partners’. Where do Barrett & Coe come in?Barrett & Coe have the exclusive contract for photography. I am not a Barrett & Coe photographer, does this matter?No. We sell data to our Franchisees as well as established photographers all over the UK. How do the areas work?We have mapped the UK into areas of 200,000 people. The areas are fixed so we cannot add or drop postcodes. This is important for us to give National coverage and is part of our contract with Emma’s Diary. All postcodes within an area must be taken, however you are free to select which postcodes you market to when you have purchased them. When you take an area we may be able to add additional postcodes from an adjacent area providing that area is not already taken. This is subject to the area being made available (at two months notice) should someone want the full area. You would be given first choice in taking the full area. I want more than one area?This is fine. We have several photographers who take 2, 3, 4 and 5 areas. What are the costs involved?No annual registration fee from 1st September 2010. Leads are priced at £1.45 + VAT. Do I have to take all the leads from my area or can I specify the number of leads I get?You will be supplied and invoiced for all leads generated from within your area. It is up to you whether you want to use all of them. How many leads can I expect to get per month?Each area will generate approx 150-200 leads per month. The numbers are not in our control, it totally depends on the number of Mum’s registering. You may experience a higher volume in your first month or two because you will have Mum’s who may have registered a while ago who still fulfil the criteria of having a baby aged 0-24 weeks. For your first month we will cap your leads at 200. When will I get the leads?Leads are supplied monthly, at the start of the month. As soon as Barrett & Coe receive the leads from Emma’s Diary we get them out to you within 24 hours. How are they sent?Leads are sent on an Excel spreadsheet to your email address. How and when will I have to pay for the leads?When we email you the leads we will notify you how much they will cost you and when the amount will be debited. We will give you at least 10 working days notice. All payments are taken by Direct Debit. Should you need to amend your bank details please email enquire@barrettandcoe.co.uk for a new Direct Debit mandate form. What data do I get?Mum’s name, Mum’s address, telephone number (where provided), DOB of baby, email address (where provided) and DOB’s of any other children in the family (where provided). How many leads will have telephone numbers and email addresses?Approximately 40-50% have contact numbers, there is no extra charge for these. We have no control or guarantee over this whatsoever, where a Mum has disclosed her telephone number or email address, you get it. Is there a limit to the number of times I can use the data?No, you may use it as many times as you wish in a 12 month period. Is there a specific offer I have to make to my leads?No. As long as you are offering pregnancy/baby photography you can create your own offer. A complimentary sitting and photographic gift have been proven to be successful. What are data suppressions?Each week an email will be circulated to all Emma’s Diary photographers with a spreadsheet attached detailing leads who have asked to be removed from the Emma’s Diary database. Many of these leads are women whose babies have sadly died so it is very important you cross reference with leads you have already been sent to make sure you make no further contact. You may get one or two data suppressions a month. Do I get a refund for suppressed data?No. Because the leads were legitimate when they were sent to you and Emma’s Diary will not credit us. What is the age of the babies?You can opt to have: What is Prebirth data?Data of pregnant Mums who are 32-40 weeks pregnant. When I contact Mum, can I mention Emma’s Diary?Yes. You can say ‘…in association with Emma’s Diary’, but not ‘…on behalf of Emma’s Diary’. We can also supply you with the Emma’s Diary logo to use on your literature. Do you have a recommended Marketing company?Yes. Time Associates are a separate company to Barrett & Coe although we work very closely. They specialise in the handling of Emma’s Diary data and have a call centre and team dedicated to making appointments. Time Associates are able to book and confirm your appointments over the telephone and organise mailshots to your data. Can I speak to other photographers taking Emma’s Diary leads?We have a dedicated Emma’s Diary Forum just for photographers. This will be a great way of sharing ideas and experiences of the leads. Once you have signed an agreement we will give you details of how to access the forum. What if a Barrett & Coe Franchisee has started up in my area?We give priority to our franchisees so unfortunately we would issue you with 2 months notice. Will there be duplicated leads?Each source has its own claim card or registration mechanic and there is unfortunately no absolute method of restricting the number of registrations an individual consumer makes. Data is loaded onto the database on a monthly basis and each time the new data is processed it is matched against the existing database to identify any duplicate records. Emma’s Diary employs stringent de-duplication technology in the matching process using a number of fields to define a duplicate record for maximum efficiency and hygiene. Where 2 or more fields are identified as exact matches, then this record is considered a duplicate and the consumer details are updated with the recent information provided but the record is not added onto the database a second time. However if only 1 field is identified as an exact match then this record does not qualify as a duplicate. The reason for this is that people in the same vicinity can have matching surnames; they can also have the same postcode. Therefore a match on either surname or postcode alone is not enough to define a duplicate. Similarly it is possible for more than one pregnant woman to live at a particular address. Please be aware that some people are deliberately devious and have applied for registration more than once to receive further advantages of the offer. These are very difficult to identify. We cannot offer reimbursements on these close matches unless they exceed 5% of the data volume. If you think you may have a duplicate lead please email full details to enquire@barrettandcoe.co.uk for us to look into. I no longer wish to take Emma’s Diary leads?As per your contract, all we require is 2 months notice in writing. Please do not cancel your Direct Debit until your final payment for leads has cleared.
